Guidelines for Ancillary Meetings at HUPO 2025
Ancillary meetings and events play an important role in fostering collaboration and engagement during the Congress. To ensure smooth coordination, all side meetings must follow the guidelines below:
1. Non-Conflict with Congress Program
- Side events, meetings, or hospitality functions hosted by industry partners must not overlap with official Congress activities.
- This includes all scientific sessions, plenaries, workshops, poster sessions, networking events, and pre-congress sessions on Sunday.
- Available times for industry events: Saturday (all day) and Monday evening after 19:30.
2. Event Approval
- All proposed ancillary events must be submitted in advance to the Congress Secretariat for approval.
- Details should include: event purpose, date, time, venue, and target audience.
- Approval is required before promoting or confirming any event.
- Please submit your requests to: hupo2025-fulfillment@icsevents.com
3. Branding and Communications
- Promotion of side events within official Congress venues is not permitted unless expressly authorized by the Congress Secretariat.
